Training/Administrative Services Coordinator -Civilian

Woodstock, GA Woodstock, GA Full-time Full-time $20 an hour $20 an hour Job Description Provides a variety of routine clerical and administrative work, and responsible administrative research supporting the training functions of the Training Division of the Police Department.
Job Responsibilities Provides support in the coordination of training calendar updates, registers / cancels officers for training (RAPSTC, GPSTC, Cherokee SO, Fulton County SO, etc.
) and notifies officers of status of training requests.
Distributes training opportunity announcements as directed by Training Unit Commander.
Tracks training totals and reports on a monthly and annual basis.
Prepares registration paperwork for attendees of PMP, Supervision and Command College as directed by Command Staff.
Prepares new employees for Basic Mandate Training to include preparing Georgia P.

paperwork, ordering clothing and other supplies required for training.
Prepares various forms and packets, including but not limited to Georgia P.
O.
S.
T.
Waivers, Radar/Lidar/Laser certification packets, Certification packets, etc.
Update officers records for required re-certification, name changes, degree updates, promotions, hiring, and separations, etc.
Submits training courses and hours earned (course code, hours, instructor information) to Georgia P.
O.
S.
T.
Assists in the preparation and distribution of in-house training material.
Assists Accreditation Manager with copies of training course information completed through PowerDMS and other external training required to maintain State and CALEA Certification.
Orders equipment and supplies at the direction of the Training Unit Commander.
Oversees procurement processes in accordance with approved fiscal year budget.
Directly manages uniform, personal equipment and office supply procurement and distribution.
Initiates training via PowerDMS website for all Woodstock Police Department employees.
This includes updating and/or creating material via Word or PowerPoint.
Manages and schedules off-duty work details of all sworn police officers, facilitating accounts receivable invoicing for same.
Reviews and recommends for further processing all applications for entry-level sworn police officer and non-certified police officer position vacancies.
Administers applicant skill testing in conformance with police department policies as well as local, state and/or federal employment laws.
Receives test scores and notifies candidates of same.
Coordinates hiring board interview schedule.
Provides notice to Human Resources of rejected candidates as well as police department hiring decisions.
Coordinates department-level new hire processing and pre-employment background investigations, ensuring compliance with City and department policies.
Interacts with Command and Supervisory staff to schedule academy training of non-certified new hires.
Ensures all department vehicles are properly maintained and inventoried in Citys property insurance schedule.
Schedules routine and/or urgent repairs.
Serves as department contact for processing accident reports and obtaining repair quotes.
Responsible for interviewing and screening vendors.
Provides recommendations to Command Staff based on independent judgement and analysis of vendor services and/or products.
Assists in the compilation of Open Records Requests.
PERIPHERAL DUTIES May serve on department and/or city committees as needed.
Performs related duties as required.
Knowledge, Skills, and Abilities Knowledge, Skills, & Abilities - General:
(A) Must be 18 years or older at the time of employment; (B) Must not have felony convictions or disqualifying criminal histories within the past seven years; (C) Must be able to read and write in the English language; (D) Minimum typing speed of 50 wpm.
Education and
Experience:
(E) HS Diploma or GED with two to three years work in an office setting performing administrative tasks.
An Associates Degree or higher in Office Technology, Paralegal course work, Accounting or related field is preferred.
(F) Any equivalent combination of education, training, and experience that yields the necessary knowledge, skills and abilities.
Special Requirements:
Must be at least 18 years of age at the time of employment; pass a criminal background check (have no felony convictions or disqualifying criminal histories within the past seven years); and must be able to read and write in English.
Necessary Knowledge, Skills and Abilities:
(A) Working knowledge of computers to include MS Office Word processing, spreadsheets, MS Publisher and Power Point.

Working knowledge of modern office practices and procedures.
(B) Some knowledge of modern law enforcement principles, procedures, techniques and equipment; (C) Good communication skills.
Ability to communicate effectively verbally and in writing, ability to evaluate, audit, and assess data using established criteria.
(D) Ability to learn the applicable laws, ordinances, and department rules and regulations; Ability to problem solve and establish and maintain effective working relationships with employees, supervisors, City staff and other local government employees; Ability to follow verbal and written instructions.
(E) Ability to multi-task in a demanding work environment.
