Job Responsibilities Serves as administrative and customer service support for the acceptance, processing, tracking and distribution of development and building plans as well as applications and payments for Occupation Tax registration.
Addresses questions and responds to inquiries from the general public, developers, city staff, architects, engineers and contractors in person and via telephone and email related to new and existing development projects, site construction plans, and other community development activities.
Works directly with the public as the initial contact regarding general questions about Occupation Tax registration.
Verifies and notarizes affidavit confirming legal status and e-verify affidavit.
Forwards each report to appropriate administrative personnel for approval.
Serves as a liaison between applicant and inspector to update BS&A database; reviews applications; ensures conformity with city code; and issues a variety of permits and licenses as determined by compliance with appropriate local and state regulations and laws.
Records all permits, bonds, plans, fees, notices and other transactions performed in the process of facilitating the approval of development/construction projects.
Enters data and coordinates approval of Occupation Tax registration by various departments, issues and prints license to mail to customer.
Provides basic accounting services to include but not limited to receipting for a variety of fees and depositing of cash received, and running and balancing reports for accounting.
Prepares a variety of special projects, reports, and department records which involve the compilation and research of relevant data and records retrieval.
Requests and receives payment for renewal accounts for Occupation Tax registration and verifies legal status for state licensure and incorporation.
Posts payments and issues/mails yearly Occupation Tax renewal form to customer.
Provides updates and related information to Georgia Department of Revenue for all Alcohol License Applicants.
Prepares and maintains records, reports, manuals, booklets, requisitions, purchase orders, and related documentation.
Types and edits reports, correspondence, memoranda, and other materials from copy, rough drafts, or general instructions.
Reviews documents for completeness.
Copies documents.
Maintains department supply inventory; prepares purchase requisitions and orders supplies as necessary.
Completes duties and tasks similar to the aforementioned, as assigned by the Development Services Supervisor.
PERIPHERAL DUTIES Maintains appointment calendars and scheduling.
From time to time, this position may be asked to provide office management and coordination in assisting the department director with administrative tasks to support the department.
Knowledge, Skills, and Abilities Knowledge, Skills, & Abilities - Education and
Experience:
(A) Graduation from high school or GED, and (B) Two (2) years of responsible related experience, or (C) Any equivalent combination of education and experience.
Necessary Knowledge, Skills and Abilities:
(A) Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures; knowledge providing complex and specialized support.
(B) Skill in operating listed tools and equipment.
Skill in researching and organizing data.
Skill in exercising discretion.
Skill in providing customer service.
(C) Ability to meet and deal with the public; ability to communicate effectively verbally and in writing; ability to handle stressful situations; ability to provide guidance, assistance, and/or interpretation to others on how to apply procedures and standards to specific situations.
